Under general supervision, provides clerical and technical support of the daily operations of the Community Development Department and serves as City Receptionist for the General Government administrative offices.

Examples of Duties

  • Serves as telephone operator, receiving incoming calls as well as greeting visitors.   Directs calls to desired person, responds to inquiries, answers questions, and provides information to the public, property owners, developers and outside agencies.
  • Responds to inquiries and answers questions from contractors, homeowners, City officials, and the general public regarding building codes and building permits.   Schedules daily inspections for Building Official.
  • Coordinates inspections for Building, Zoning, and Public Works departments.
  • Coordinates the processing and issuance of permits, plans and Certificates of Occupancy from the application phase.
  • Ensures required approvals are obtained for final inspection.  Records and files documentation and acts as a liaison between developers, owners, contractors, inspectors and outside agencies to ensure efficient operations.
  • Serves as cashier by collecting payments for building permits; collecting payments for re-inspection, plan review, court, storm water and miscellaneous fees; reconciling and balancing cash drawer; and preparing bank deposits.
  • Processes contractor’s licenses.
  • Maintains accurate and up-to-date permit information by using numerical control, continuous permit inventory and statistical data for monthly and annual reports.
  • Compiles documents for Planning Commission meetings.
  • Attends Planning Commission meetings. Serves as Recording Clerk by transcribing and preparing meeting minutes.
  • Attends meetings, conferences, workshops and training sessions in order to stay current on principles, practices and developments in assigned work areas.
  • Maintains inventory of office supplies to ensure efficient operations.
  • Maintains files of Planning Commission meeting minutes, resolutions, agendas, and packets.
  • Maintains Community Development Department records in On-Base document management system.
  • Reviews and issues over-the-counter permits for plans not needing plan review (roofs, windows, siding, sewer line repair, and mechanical).
  • Administers internal plan review process in On-Base for plans needing review.
  • Participates in departmental meetings and work groups, as needed, to assist with process improvement.
  • Acts as back-up for Accounts Payable, Utility Billing, and Tax
  • Administrator. Enters information, runs checks, invoicing, entering tax returns, etc.
  • Other duties as assigned.
